Job Introduction:


The world's leading private security organization, G4S, has an immediate job opportunity for a HR Shared Services Specialist. As a HR Shared Services Specialist, you will review the applicant’s digital onboarding material, including forms, policy acknowledgments, and other documents that may be scanned in directly from our field offices or provided directly by the applicant to ensure all required information has been collected and properly maintained in the applicant’s digital personnel file. When necessary, the HRSS Specialist will manually enter data into the applicant’s Human Resources Information System record. This position is responsible for addressing any discrepancies or ommissions directly with the applicant or field office, coordinating background completion with the verifications team, compiling all the information necessary to hire the applicant in the HRIS, and for ensuring all the documentation that is required for Group Internal Audit has been collected, analyzed, and reviewed. This position requires the handling of sensitive and confidential information for which confidentiality is a nonnegotiable job requirement.

Role Responsibility:

Specific Duties and Essential Functions

  • Analyze an applicant’s onboarding forms and policy acknowledgments for accuracy and completeness
  • Communicate effectively via phone, email, and/or fax with applicants and field offices to expeditiously obtain additional information when necessary
  • Compare onboarding package to conditional offer of site assignment to correct information is being collected
  • Tracking status of outstanding tasks for each applicant and determining if additional guidance or escalation is necessary
  • Collect and analyze data from multiple sources
  • Data entry into the HRIS
  • Ensure information required for Group Internal Audit has been collected and analyzed
  • Other duties as assigned

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Minimum of 2 years of experience providing customer service, shared services, or administrative support in a fast-paced, professional, large business environment
  • Ability to communicate effectively to a variety of audiences with an ability to work discretely on a wide range of sensitive and confidential issues
  • Work history demonstrating a strong mastery of the following:
    • Advanced computer skills to include Microsoft Office applications
    • Strong focus on customer service
    • Ability to compile, sort, and analyze data from multiple sources
    • Demonstrated attention to detail and strong organizational skills with ability to prioritize, problem solve, and multitask
    • Strong interpersonal skills and ability to seek input at appropriate points

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must submit to a pre-employment drug test
  • Must submit to an extensive background check, including history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:  Office; minimal to no exposure to extreme temperatures

Major or special activity:  Working on PC or Chromebook  while sitting

Physical efforts to carry out job duties:  Limited, to include some standing, bending, limited stretching and reaching.
