The world's leading private security organization, G4S, has an immediate job opportunity for a Shared Services Coordinator. Shared Services Coordinator is responsible for the daily management of all fixed assets, uniforms and equipment assigned to the local area office.  This position oversees the inventory, maintenance, purchasing and control of all fixed assets, uniforms and equipment; ensuring all fixed assets, uniforms and equipment are properly maintained to support Operations and that fixed assets, uniforms and equipment are disposed of in accordance with G4S policies and procedures.  The Supply Administrator will manage vendor relations for the office and to provide operational support to both the General Manager and Manager, Operations as needed. Additionally, this individual receives, validates and codes all vendor payments for the review and signature of the General Manager and maintains all support documents as required.

Role Responsibility:

Specific Duties and Essential Functions

  • Ordering of equipment and uniforms in a timely manner and maintain the necessary inventory to ensure operational efficiency and continuity.  Respond to requests from field personnel to exchange damaged or worn equipment. Properly dispose of uniforms and equipment that is no longer serviceable.  Ensure accountability.
  • Vehicle Fleet – maintain a current listing of all vehicles assigned to area office and generate a monthly status report for the General Manager. Monitor vehicle warranty and notify vendor when vehicle is covered under warranty, ensure registration and license tag documents are on hand in vehicle, access, understand and interpret Telematics’s Vehicle information for each assigned vehicle on a monthly basis.  All anomalies must be reported to the Manager, Operations, immediately.  Ensure all Patrol Bicycles are serviceable and that unserviceable bicycles are repaired and available for use.  Ensure all vehicle maintenance forms (to include safety forms) are properly documented and maintained.
  • Maintain a list of all radios that are assigned to the Area Office and ensure that the radios that are not properly working are repaired / replaced as needed.
  • Responsible for ordering of telephones as needed by the administrative staff and field personnel.  Collect same from staff when they are reassigned or on leave.
  • Assist the General Manager and Manager, Operations on special projects as required. 
  • Establish and maintain vendor relations with outside equipment, maintenance and facilities vendor and building management.

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess prior work or education experience in accounting, purchasing, or office administration

Skills Required

  • Proficient computer skills including Microsoft Office
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail

Other

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment: Office; minimal to no exposure to extreme temperatures is expected

Major activity: Working in the uniform and equipment room

Physical efforts to carry out job duties: Limited, to include some standing, bending, maneuvering up to 10 pounds, and limited stretching and reaching.
