Job Introduction:


The world's leading private security organization, G4S, has an immediate job opportunity for a CRS Administrative Specialist. As a CRS Administrative Specialist, you will be responsible for global vendor management within the asset matrix, create invoices for clients, open billable events into the accounting software, maintain tracking sheets for financial purposes, and monitor email for notification of changes to ongoing events with the Directors to ensure accurate monthly capture. Other duties include providing basic support services for the Field Directors, scanning and filing, reviewing the aging account receivables regularly and send notifications to client, and provide support service to the Business Development and Administrative Director. Other duties may include:

  • Prepare accurate communication via email to employees, Directors, clients, and vendors
  • Assist with shared drive
  • Assist with staffing as needed
  • All other duties assigned

Role Responsibility:

Specific Duties and Essential Functions


  • Provide timely communications and actionable information to maintain vendor list, generate vendor numbers and collect/maintain proper vendor documentation
  • Identify and communicate daily all actionable items in the unit email in order to support project management and provide necessary documentation in support of client needs
  • Open and assign project numbers and complete data entry regarding revenue and associated costs, generate invoices based on specific client requirements and submit to client
  • Establish relationships with internal and external partners to assist clients and Field Directors to closely manage billable projects to ensure monthly expenses and revenue match
  • Manage accounts receivables and collaborate with the Accounts Receivables to receive or apply payments
  • Prepare accurate communication via email to employees, Directors, clients, and vendors
  • Assist with maintenance of documents in the shared team drive
  • Ability to assist with administrative, billing or operational duties as needed


The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess one or more of the following:
    • Bachelor’s degree in fields such as, criminology, criminal justice, political science, international studies, national security, business, accounting, finance or any other related field
    • Minimum of 3 years of administrative, financial or project management experience in either a military, government or corporate environment

  • Must be at least 18 years old or the minimum age required by the state, if higher

  • Must have legal right to work in the US
  • Must have knowledge of PeopleSoft, QuickBooks and Sales Force
  • Must be able to work independently while also being a team player
  • Must have strong interpersonal skills
  • Must have ease with written and verbal communication
  • Must have strong attention to detail with accuracy
  • Must have strong analytical skills
  • Must possess a highly polished and professional demeanor
  • Must have superior customer service skills
  • Must submit to a pre-employment drug test
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:  Indoor; minimal to no exposure to extreme temperatures is expected

Major activity:  Sitting, speaking, listening, observing; computer and telephone use

Physical efforts to carry out job duties:  Sitting. Minimal to no stooping or kneeling.
